1. General Information

How do I register my child(ren) for camp?

Registration is a two-step process completed online. Registrations are accepted on a first come, first serve basis.

Step 1: Complete payment on Frost Science’s website.

  • Once your registration has been reviewed and the payment has been processed, you will receive a final confirmation email. Your child is not registered until you have received this confirmation email.

Step 2: Register for the Frost Science event on KidCheck.

  • After you have paid and received your confirmation email, you will receive an email with your camp e-ticket attached. Click the unique link on your e-ticket to register for your camp week(s) on KidCheck.
  • This is a mandatory step of registration as KidCheck is our camper information-management software. It asks you to provide pertinent medical information and specify adults authorized to pick up your child.

What is KidCheck?
KidCheck is a secure child information management software that tracks necessary medical information and expedites drop-off and pick-up procedures.  At Frost Science, nothing is more important to us than the safety and security of your children.  We’ve chosen KidCheck to provide you with the best check-in and check-out experience and to keep your children safe. To learn more about KidCheck, check out this video.

What should my child wear to camp?

Each registered child will receive two (2) camp t-shirt per week as part of their tuition. All campers attending four- and five-day camps are required to wear the camp t-shirt to camp every day. Additional shirts are available for sale for $10 each. Campers should wear shorts or jeans and comfortable closed toe shoes. All campers should also bring a sweater or a jacket as the Museum tends to be chilly. Please note that campers may use materials like clay, glue or paint or may participate in outdoor activities so clothes can get dirty, wet or messy.

Who can I contact with additional questions?

Please contact our camp team at camp@frostscience.org.

Is food provided at camp?

Included in the price of camp registration are three snacks (one morning, one afternoon, and one during aftercare) that campers will select from a variety of allergy-sensitive options. Campers may bring their own snacks from home instead, but this will not result in a discount for camp registration.

Additionally, all classes have a 30-minute lunch break each camp day. Lunch is INCLUDED in the cost of camp. Parents can choose from a regular lunch menu (Menu A) or a vegetarian lunch menu (Menu B). We do not offer vegan or kosher menus. A PDF version of our menu is available for viewing and download on the camp webpage, along with a full list of ingredients. We recommend that you bring lunch from home if your camper is allergic to wheat, dairy, eggs or soy. All campers are welcome to bring food from home to supplement their camp lunch and snacks but we request that this food be nut-free to be mindful of other campers’ allergies.

Please note menus are subject to change. Parents/guardians will be notified as soon as possible if there is a change to the lunch menu.

Do you allow campers to bring their own toys or tablets?
We ask that campers leave personal items, especially electronics and toys, at home. Campers will not be allowed to use any electronics, including but not limited to phones, tablets, or game consoles, during camp hours to ensure the safety of all camper belongings. Their days will already be packed with fun activities! If camp staff determines that the presence of these items is disruptive to the class, they may be confiscated and held until the end of the day. Frost Science makes every reasonable attempt to safeguard campers’ possessions. However, the museum will not be held responsible for the loss, destruction, or theft of any personal items your child may bring to camp.

What is your restroom policy?
There will be set opportunities, for example after snack and lunch, for campers to use the restroom. However, they will be able to use the restroom whenever needed. All campers must be potty-trained and able to independently use the restroom with no additional help.

Are photos of the children taken during camp?
By signing your child up for camp, you authorize the Phillip and Patricia Frost Museum of Science to photograph and/or videotape your child for marketing purposes. Please note that these materials will not be sold or loaned and will be used only to promote Frost Science’s education programs. If you do not want your child to be photographed for marketing purposes, please note it on the second step of registration in KidCheck.

3. Registration

My plans have changed. Can I withdraw my child?

We ask that withdrawal requests be made at least two weeks prior to the first day of camp. In this instance, a Frost Science education programs credit (but no refund) will be given. This credit will be good for one year from the date of issue and may be applied to a Frost Science camp or educational program. If a student withdraws from the camp for which they are registered within two weeks of the first day of camp, including during or after the first day, no credit or refund will be issued.

What is your cancellation policy?

Camp sessions that do not meet minimum enrollment requirements are subject to cancellation. If we must cancel your camp, we will contact you to inform you of other educational program options.

What is your sick policy?

If your child exhibits symptoms of an illness or states that they feel ill to a staff member, a parent/guardian will be notified. If a child is sent home, they will need to be picked up within 30 minutes of notification. Symptoms that will result in a child being sent home include (but are not limited to):

  • A fever of 100.4°F or higher.
  • Coughing (unless a doctor’s note confirms the child is not contagious, such as with allergies)
  • Headache
  • Upset stomach, vomiting or diarrhea

All children need to be symptom free (and in the event of a recent fever, must be fever free without the aid of fever reducing medication) for 24 hours and have a doctor’s note for them to attend a camp session.

4. Arriving and Departing

What is the drop-off process?

Campers must be dropped off from 8:30 a.m. – 9:00 a.m., at the Level 5 camp checkpoint located to the right of the guest elevators. For safety reasons, a parent/guardian must accompany their child(ren) to camp check-in and sign them in with a phone number associated with their KidCheck account. Campers are not allowed to sign themselves in.

What is the pick-up process?

Campers must be picked up between 3:30 p.m. – 5:30 p.m. at the Level 5 camp checkpoint located to the right of the guest elevators. For safety reasons, campers will only be released to the individual(s) listed in KidCheck as a guardian or as authorized for pick up. Once the ID has been verified and matches an individual listed in KidCheck, your child(ren) will be brought to you. It takes approximately 10-15 minutes for your child(ren) to arrive at the entrance of the museum, due to the location of the classrooms.

Parents/guardians of campers that remain after 5:30 p.m. will be charged $5 per minute for every minute after 5:30 p.m. until they are picked up. Payment for late pick-up will be invoiced by our Reservations Department and must be received before the end of the following week. If payment is not received by the next Friday before the end of the business day, a $60 late fee will be charged to the account and is due at time of payment. If an account is delinquent over 30 days from the due date, a 1.5% charge will be added to the account balance. In the case of a past due account being sent to collections, the balance of any outstanding payments, plus collection, court and/or filing legal fees will be added to the balance owed to Frost Science.

Where do I park?

Parking for camp drop off and pick up will take place in the bus lanes before entering the garage. Please leave your car in the bus lane, head up to Science Plaza and meet a camp staff member in the Museum’s Atrium next to the Ticket Center. Parking in the garage will not be complimentary, all those who wish to park in the garage will be subject to regular parking fees.

Do you offer after care?

After care is included in camp registration and is provided until 5:30 p.m. In after care, campers participate in activities including crafts, board games and watching educational videos. Parents/guardians of campers that remain after 5:30 p.m. will be charged $5 per minute for every minute after 5:30 p.m. until their child(ren) are picked up.

If you do not wish to have your child in after care, you can pick them up beginning at 3:30 p.m. However, this will not result in a reduction to your camp registration fee.

What if I need to pick up my child early?

If a camper will need to be picked up early, please proceed to the entrance booth in the Museum’s Atrium. Provide the guest ambassador your child’s name, grade, and inform them that they are in the Frost Science camp program. The Guest Ambassador will then contact the camp program who will bring your child to you for sign-out. All individuals must present a photo ID and be listed on KidCheck in the child’s “authorized for pick up” list for pick up.

5. Safety and Special Needs

My child has certain allergies, how do I ensure that the camp program is aware?

We ask that all parents who have children with allergies fill out an Allergy Action Plan and send the completed form to camp@frostscience.org. The Allergy Action Plan will be reviewed with the instructor and teaching aide, and kept in the class binder, which always stays with the class. Please note that the camp instructors are not permitted to store or administer Epi-Pens or other medications to your camper. If you have any concerns, reach out to the camp team at camp@frostscience.org.

My child has specific needs or accommodations. How does Frost Science create an inclusive environment?

All Frost Science camps are inclusive, and instructors have received training in adapting lessons to accommodate all children. Thus, any camper with special needs is welcome. If possible, please disclose any special needs to the camp team at camp@frostscience.org. This information will only be shared with the camp instructor and select camp staff to ensure that your child has an optimal camp experience.

Please note that camp classes/activities may take place outdoors or involve outdoor activities. Also, camp classes will use the Museum stairs to navigate the museum throughout the day.

What is your behavior policy for campers?

Good behavior is a key component to a successful camp experience. To provide all campers with a safe and fun-filled camp experience, it is important that all campers exhibit proper behavior and self-control. Campers are expected to respect their instructors, staff and fellow campers always. During the second step of registration through KidCheck, your camper agrees to abide by the Frost Science Camp Behavior & Disciplinary Policy. Examples of inappropriate behavior include, but are not limited to hitting, fighting, name calling, foul language, bullying, reckless endangerment, disrespectful actions and stealing.

The Frost Science reserves the right, upon notification of parents, to dismiss any student for conduct that is deemed detrimental to the well-being of other students, staff or to the overall operation of the camp. No refund/credit will be issued if your child is dismissed.

What happens in the event of an emergency at the Museum?

Frost Science has an emergency action plan that is part of the safety training for all staff. This training includes what to do in the event of a fire, severe weather, a missing child/parent and more. All camp instructors, staff, and volunteers have completed this training.

In case of an emergency, safety of all campers will be a priority. Once the camper(s) are safe, and the Emergency Action Plan procedure is followed, parents will be notified as quickly as possible using the emergency contact information provided for each camper at registration.

In the event of a medical emergency, museum staff will contact emergency medical personnel and then the child’s parent or guardian. Based on the medical personnel’s assessment, your child may be transported to a local hospital to receive further medical attention. Please note, emergency medical personnel cannot honor requests to bring children to specific hospitals, doctors or medical establishments.
